The implementation of the comprehensive cloud solution for personnel accounting and payroll calculation IW HR&Payroll has been successfully completed at SOS Children’s Villages Georgia. The solution was developed by Innoware.
SOS Children’s Villages, founded in 1949, is the world’s largest organization focused on ensuring that children and young people without parental care or at risk of losing it grow up with the care, relationships, and support they need to become their strongest selves. Locally led, the organization works in more than 130 countries and territories to strengthen families under pressure so they can stay together.
SOS Children’s Villages Georgia has been a primary supporter of children living in poverty and without parental care in Georgia. Over these years, the organization has helped nearly 2,500 families and more than 5,600 children and young people, empowering them economically and providing access to appropriate psychosocial services.
Organizational prerequisites and solution selection
Due to active growth, SOS Children’s Villages Georgia faced the need to streamline, organize and standardize its personnel management and payroll calculation processes. Therefore, the company’s management began looking for a solution that would enable the structuring and automation of these operations.
Considering that the SOS Children’s Villages Georgia team previously had successful experience with the local implementation and use the ERP system Microsoft Dynamics 365 Finance and Supply Chain Management and that at the global level the organization focuses on implementing solutions within the Microsoft ecosystem, the internal team unanimously selected the specialized comprehensive cloud solution IW HR&Payroll to meet personnel management and payroll calculation needs. The solution is developed using the latest Microsoft digital technologies and enables personnel management and payroll calculation to be organized within a single information environment, making them modern, efficient and transparent. The specialized solution IW HR&Payroll was developed by Innoware.
Implementation approach
The implementation of IW HR&Payroll at SOS Children’s Villages Georgia began with a thorough analysis by Innoware specialists of the organization’s existing processes of payroll calculation, personnel accounting, time tracking and reporting.
This was followed by the preparation of design documents outlining how the customers’ processes are currently configured and how they should be implemented in IW HR&Payroll.
After the customer approved the design documents, Innoware specialists prepared and finalized a list of required system modifications.
The next stage of the project was the preparation of documentation by the implementation team to support SOS Children’s Villages Georgia users in working with the system, after which, thanks to the flexibility of IW HR&Payroll, minor modifications of the solution were developed to meet the customer’s specific needs and operational requirements.
System launch into technical operation was completed.
Continuous communication between Innoware and SOS Children’s Villages Georgia teams, as well as shared process transparency and methodological implementation support, made it possible to successfully implement the new system into the customer’s business processes.
As a result of the implementation of IW HR&Payroll, SOS Children’s Villages Georgia has received the following:
- automation of payroll calculation for service providers and employees (including tutors), with complex insurance and tax rules;
- configuration of accurate tax calculations in accordance with Georgian legislation, with minimal customizations;
- implementation of key statutory reports in accordance with the requirements of Georgian legislation;
- introduction of 13th salary calculation in line with the company’s internal policies;
- setup of automatic calculation of insurance contributions (Private Pension Insurance, Health Insurance);
- configuration of flexible analytics (project, service type, business unit and other parameters);
- implementation of three-level access control to sensitive data in the system, including:
– full access to payroll calculation, creation of financial transactions and statutory reporting;
– access limited to service provider payroll calculation only;
– access limited to employee payroll calculation, including tutors.
- development of a role center interface that speeds up operations and minimizes the risk of errors;
- increased transparency of payroll calculation and accounting processes.
As a result of the implementation of IW HR&Payroll, SOS Children’s Villages Georgia gained not only fully configured business processes that meet the company’s daily operational requirements, but also a full package of project documentation – from the design phase to the launch of the system, including detailed instructions that ensure easy training of new users and enable further independent development of the solution.
The active phase of the project lasted 6 months.
Today, 11 users work in the IW HR&Payroll system, and payroll is calculated for over 500 employees and service providers.
Currently, Innoware continues to collaborate with SOS Children’s Villages Georgia and provides active support services for the implemented IW HR&Payroll solution.
